Administrative/IP Assistant

About the role

We are currently seeking a highly organised & pro-active Administrative Assistant to work with our principals and attorneys, predominantly in the engineering team, to help them manage their practices, provide them with high-quality support and assist in delivering an exceptional client experience.

This full-time role based in the Melbourne CBD will provide an individual with exposure to various practice groups across the firm, working with our bespoke IP document management system to ultimately help our clients transform their creativity and innovations into commercial edge.

Reporting to the principals in the engineering team, key responsibilities will include:

  • Preparation of documents and correspondence
  • Managing workflows as assigned by our bespoke document management system
  • Working responsively and flexibly to meet client special requirements/instructions
  • Timely and highly organised file management
  • Accurate and efficient typing and dictations
  • Coordination of monthly billing process
  • General team administration and
  • Providing administrative assistance to other practice teams as required

 

About you

You are an experienced administrator (ideally with a minimum of 2 years experience in a similar professional services environment).

You take ownership and responsibility for tasks and love improving ways of working.

You are a team player with a flexible ‘can do’ attitude.

And you will also possess:

  • Superior organisation skills
  • An exceptional eye for detail
  • Technical proficiency with various IT applications and experience in MS Office
  • The ability to multi-task and work collaboratively across teams
  • Excellent interpersonal as well as written communication skills
  • Outstanding time management skills with the ability to deliver results within specific timeframes
  • Demonstrated adaptability, initiative, and prioritisation skills
  • IP Assistant experience valued but not essential
