IP Administrator

About the role

We are currently seeking an experienced and highly organised Administrator to join our IP Operations team to work with our IP document management system to maintain client files, and ultimately help our clients transform their creativity and innovations into commercial edge.

This full-time role based in the Melbourne CBD will give an individual the opportunity to work autonomously, as well as work alongside our skilled Operations team.

Reporting to the Operations Team Leaders, your key responsibilities will include:

  • IP tasks such as preparing and filing patent, trade mark and design applications with IP Australia, the Intellectual Property Office of New Zealand and other relevant bodies.
  • Entering and maintaining case files and client records.
  • Receiving directions from internal and external clients to action appropriately.
  • Capturing and recording accurate dates and numbers from incoming correspondence.
  • Confirming the accuracy of data and comparing data entered with source documents.
  • Preparing well-constructed written material for key clients.

About you

You are an experienced administrator, ideally with a minimum of 2 years’ experience in a similar professional services environment.  In addition, you will be able to demonstrate the following:

  • Sound knowledge of MS Office, including Microsoft Word, Excel, Outlook, and Teams.
  • Accurate data entry skills.
  • Experience of various IT applications and databases.
  • Superior organisational and time management skills.
  • Demonstrated adaptability and initiative skills.
  • Excellent interpersonal as well as written communication skills.
  • The ability to prioritise in high volume environments.

Ideally, you will also have the following:

  • Experience in workflow management and client file handling.
  • Knowledge of the Intellectual Property industry.
  • Experience in drafting client correspondence.
